How SidebySpeak handles your account, audio, captions and optional features.
This policy covers the SidebySpeak website, browser extension and related services. SidebySpeak provides live transcription and translation. You choose when to start a session and which optional features to use.
Account data
- We store your account identifier, username and, if you set a password, a password hash—not the password itself.
- If you connect Google, we store your stable Google account identifier and verified email to authenticate and maintain that connection. Google sign-in requests basic identity scopes only; it does not request access to your Gmail, Drive, Calendar or contacts.
- Connecting Google does not subscribe you to transcript emails or identify you as a particular meeting participant. We do not use Google account data for advertising or training AI models.
- When you connect the extension through the website, a short-lived connection request grants it a separate SidebySpeak session for the same account. Your Google password and website session cookie are not shared with the extension.
Usage and payments
- We keep session times, minutes used, account allowances, subscription and payment status, and provider-usage records needed to operate the service and reconcile charges.
- Stripe processes payments. SidebySpeak stores relevant customer, subscription and transaction references, but not your full payment-card number.
Audio and cloud processing
When you authorize a session, SidebySpeak captures audio from your selected browser tab and, if enabled, your microphone. These sources are processed separately. Audio is relayed through our service to Soniox for live transcription and translation. We do not sell your audio or save it as a recording on our servers.
Where supported, the extension reads meeting-page participant labels, speaking indicators and microphone controls to improve attribution and mute behavior. These signals can be incomplete or inaccurate. SidebySpeak's microphone setting may differ from your meeting app's mute setting.
Cloud processing is not on-device processing or end-to-end encryption between meeting participants. Soniox describes its own processing and retention practices in its security and privacy documentation.
Optional features
- Learning features and summaries: enabling word matching, generating flashcards or requesting an AI summary sends relevant caption text to OpenAI. These are separate from live audio processing. Generated flashcards stay in the extension’s local browser data; optional email attachments also pass through our email provider. SidebySpeak does not store their content in a server database, queue or application logs. OpenAI may retain API text under its data-retention rules; do not assume zero retention.
- Transcript email: when you enable it and verify your destination address, transcript text is sent through our Replit-managed Resend connection to your email provider. SidebySpeak does not keep a server-side transcript-content retry queue; retry copies are local. Email and forwarding providers may retain the message and attachment.
- Troubleshooting: exported diagnostic reports can include technical session information, participant labels or visible page information. Review reports before choosing to share them. Do not send raw audio or sensitive meeting material to support.
Local storage, cookies and technical records
Saved transcripts, corrections, study data and settings are kept in browser or device storage. They can remain after a session ends until you delete them or clear that storage. Exported files, emailed copies and copies on other devices are separate; deleting a local transcript does not remove them.
We use session cookies or tokens to keep you signed in and browser storage for preferences. Hosting and website-analytics services may process request metadata such as IP address, browser information, visited pages and errors for operation, traffic measurement and security. These technical records are distinct from saved audio recordings.
Sharing and retention
Relevant data is processed by the providers described above to deliver the features you use. Providers may process it in countries other than yours, under their own terms and privacy practices. We may also disclose information when legally required or necessary to protect the service and users.
Account, usage, billing, security and support records are retained as needed to provide the service, handle disputes, prevent abuse and meet legal obligations. Provider retention is separate from SidebySpeak's transient handling of audio and caption content. We do not promise that deleting an account immediately deletes legally required billing records or copies held by other providers.
Teams
When you join a team, its owner can see your username and how many team minutes you use. The owner does not gain access to your transcripts. We keep membership, invitation and usage records to operate the shared pool and billing. Invitation links expire after seven days, work once, and can be revoked by the owner.
Your controls
You can stop capture, disable optional features, manage browser permissions, delete local transcripts and manage your subscription. Removing SidebySpeak from your Google account's third-party connections revokes Google authorization; it is not an account-deletion request.
Contact us to request access, correction or deletion of account data, or to exercise privacy rights available under applicable law. We may need to verify ownership before acting. Cancellation, account deletion and deletion of local transcripts are separate actions.
Changes to this policy
We will update the date above when this policy changes. Material changes to processing will be explained where appropriate, and additional consent will be requested when required. See our Terms of service for service and billing conditions.
